How to use
your AI Crew.

Your crew runs inside Claude — a free AI assistant. You don't need to be technical. Copy a prompt, paste it in, swap the blanks for your details, and you've got a quote, an invoice, a chase email or a social post in under a minute. Here's the whole thing, start to finish.

Getting started

1
Get a Claude account

Go to claude.ai and sign up. The free plan is fine to try it; Claude Pro (£16/mo) is best for daily use — more messages and the latest model. That's a Claude cost, separate from your one-off AI Crew purchase.

2
Open your dashboard

Use the access code from your purchase confirmation email. Keep that email — the code unlocks your crew on any device.

3
Pick a specialist

Each card is one office job. Owed money right now? Start with The Chaser — fastest first win. Tap the card to see its prompts.

4
Copy or send the prompt

Copy Prompt puts it on your clipboard to paste into Claude. Send to Claude opens Claude with the prompt already in — just press enter.

5
Fill in the [BRACKETS]

Every prompt has [SQUARE BRACKETS] — your company name, the client, the amount, the dates. Swap each one for your real details. The more specific you are, the better the result.

6
Review, then use it

Read what Claude gives back. Always check figures yourself — VAT, CIS, prices, dates — before anything goes to a customer or the taxman. Then copy it into your email, invoice or post.

Get better results

Be specific

"Kitchen refit, 3 days, £2,400 + VAT, oak worktops" beats "a kitchen job". Detail in, quality out.

Keep your details handy

Save a note with your company name, address, VAT number and bank details. Paste them in each time instead of retyping.

Ask it to adjust

Too formal? Too long? Just reply in the same chat: "make it shorter and friendlier". Claude rewrites it.

One chat per job

Keep a job's quote, invoice and chaser in the same Claude conversation so it remembers the details.

Sanity-check numbers

Claude is a brilliant writer, not your accountant. Double-check any VAT, CIS or interest figure before you rely on it.

Don't paste secrets

No card numbers, passwords or full customer ID details into any AI chat. Names and job details are fine.

A how-to for each crew member

When to reach for who

Each member fires at a different moment in the job. Here's when to use each one and what to have ready — tap through for the full step-by-step workflow.

The Responder
A new enquiry or missed call

Have ready: what they asked for, in their words. Gets a sharp reply out before a competitor answers.

Full workflow →
The Quoter
Back from a site visit

Have ready: your site notes, the scope, your price. Turns rough notes into a quote that wins.

Full workflow →
The Tender Pricer
A bigger, competitive job (£5k+)

Have ready: the brief, scope in/out, your price, why you. Writes a proper proposal, not just a number.

Full workflow →
The Planner
Start of the week or day

Have ready: your jobs, the team, deliveries. Builds the week or the day's run-sheet, flags clashes.

Full workflow →
The Buyer
Ordering, or a delivery/invoice problem

Have ready: the order, the agreed price, the PO. Locks prices, chases deliveries, disputes wrong invoices.

Full workflow →
The Invoicer
A job's finished

Have ready: the job, the amount, client type. Produces a compliant invoice — VAT and CIS already right.

Full workflow →
The Chaser
An invoice goes overdue

Have ready: invoice number, amount, how overdue. Chases — friendly, then firm, then formal — until you're paid.

Full workflow →
The Promoter
A job's done and the customer's happy

Have ready: before/after photos, the town, the standout. Turns the finished job into the next three enquiries.

Full workflow →

On AI Crew Full?

  • You've got 28 specialists across six departments, not just these eight. Every card on your dashboard has its own prompts and a "What it can do" list — the steps above work for all of them.
  • The eight members with a full workflow are the core money-and-jobs flow. The rest cover compliance, subbies, suppliers, customer comms and marketing.

Safety & good practice

Read this once

  • Everything Claude produces is a draft. Read it before you send it. You're the one signing it off.
  • Check the figures. VAT, CIS deductions, statutory interest, prices and dates are a starting point — confirm them against your own records or your accountant before they go out.
  • It's not professional advice. The crew doesn't replace your accountant, solicitor or a qualified advisor for tax, legal or financial decisions.
  • Keep personal data minimal. Don't paste card numbers, passwords or full ID documents into any AI chat.
  • Your access code is yours. It's tied to your purchase — don't share it. See the Terms & Conditions.

FAQ

Do I have to pay every month?

Not for the AI Crew — it's a one-off purchase, no subscription on the core product. The only ongoing cost is Claude itself if you choose Claude Pro (£16/mo) for heavier daily use; the free Claude plan works to get going.

Which Claude should I use?

Any current version works. For daily business use, Claude Pro gives you the latest, most capable model and far more messages — worth it once the crew is part of your routine.

Can I share my access code with a mate?

No — your code is tied to your purchase and is for your business only. Sharing it isn't permitted under the Terms & Conditions. If a mate wants the crew, send them to graft-hq.co.uk.

Will it do my actual invoicing/accounts?

It drafts the invoice, quote or chase for you to check and send. It's not connected to your accounting software (unless you take the optional done-for-you service). Always confirm figures before sending.

What's "done-for-you"?

An optional paid service where we wire a workflow up to run automatically — the draft lands ready for you to approve, nothing sends on its own. See the Workflows page (Layer 2) and enquire if you're interested.
